How you can create smooth campus events

How you can create smooth campus events

Organising an event can be a challenging task, from providing information about the event to managing ticket sales and communicating with attendees. In this post, we will explore how Orbi can help student associations coordinate and execute seamless campus events.

Events have always been a core activity for many student associations. However, creating an event often involves a lot of administrative work, such as creating sign-up forms, managing registrations, sending out invites, and promoting the event. Work that consumes a significant amount of time and resources. With Orbi, organisers are now able to focus on other important aspects of the events, rather than worrying about administrative tasks.

The platform provides a range of features that optimise the event experience for both organisers and attendees. Let us take a closer look at how you can use Orbi to simplify and make the event creation process more efficient.

Highlight key details

The description selection allows you to communicate all important event details. This information will be displayed on the Orbi app, providing attendees with a clear understanding of what to expect. Here you include the event location or add a virtual meeting link for online events, making it convenient for participants to join with just a click. Furthermore, you can also set the date and time, add a contact person and attach useful links.

Captivate your audience

Visuals play a certain role in event communication. Upload a cover image that visually represents your event, capturing attendees' attention and giving them a sneak peek into the event.

Ensure intended audience

The Participants tab offers control over who can access your event, allowing for targeted attendee selection. For instance, if you're organising an event specifically for first-year students, you can restrict access to only them, ensuring the intended audience.

Simplify ticket sales

Tickets are optional, but you have the possibility to create various tickets, such as entrance tickets or after-party tickets. In the Tickets tab, you can select for how long tickets will be available for sale, choose whether to display the remaining number of tickets and decide whether to allow attendees to transfer their tickets if they are unable to attend. If students have specific memberships, you can additionally provide them with benefits such as discounts and access to certain types of tickets. Furthermore, at the time of the event, you can verify purchased tickets directly in the app. The platform offers tools to scan the tickets at the entrance, ensuring security and preventing unauthorised access.

Co-host your event

The co-hosting tab is an effective way to increase your event's visibility. By co-hosting with another department, their followers can also see your event, even if they do not follow you. You are not restricted to collaborating with departments within your school, which means you can expand your audience beyond your campus. Inviting other departments to co-host is a simple process - they will receive an email invitation automatically, and you will receive email updates on their response status.

Add a Q&A feature

To enhance communication between organisers and event-goers, Orbi offers a Q&A feature that can be enabled in the Add-ons tab. By activating this feature, attendees can ask questions directly in the Orbi app, facilitating seamless communication and ensuring that organisers can address any concerns or inquiries.

Reach out

Using event posts is an effective way to communicate messages to specific followers or attendees directly through the Orbi app. There are two types of posts: department posts and event posts. Department posts can be seen by all followers of your department, while event posts can be seen by people who are attending or have saved your event. By utilising event posts, you can ensure that your message reaches the intended audience and keeps them informed about important updates or announcements related to your event.

To sum up, Orbi offers an all-in-one solution for student associations looking to streamline their event planning and execution process. With a user-friendly interface, organisers can focus on creating engaging campus events while the platform handles administrative tasks like managing ticket sales and providing tools for promoting the event.
